Clerkships - How to Apply

Students who will be in the final year of their medicine course at the time of the clerkship are eligible to apply. In addition, students must have at least 2 years of clinical experience.

Students may apply for one (1) clerkship specialisation only. The application must be complete stating all student data. The student assumes total responsibility for completion of all required information.

All applicants must be proficient in both written and spoken English.

All applications will be acknowledged by e-mail and successful and unsuccessful applicants will be notified by e-mail as soon as possible after the closing date.

Completing the Application Form


Faxed copies of forms will not be accepted. Original documents with original stamps or seals are required.

To expedite processing of this application, please ensure that Part 1 and Part 2 are completed in detail.

Please print the two pages and mail them to our office:

1Complete all personal details ensuring that your e-mail address is legible.
2Add the name and address of your medical school and expected date of graduation.
3List, in descending order of desirability, the experience sought, showing area of interest and a start and end date.

Please note that clerkships must be at least four (4) weeks and cannot exceed eight (8) weeks.
4Sign and date the application.
5The Dean (or his/her designee) should complete Part 2 and affix your school's imprimatur.

The application must be accompanied by:
  • Payment of Application Fee (see Fees section below)
  • An academic transcript detailing subjects undertaken and grades/marks gained to date;
  • A curriculum vitae (CV) of the applicant;
  • A letter of good standing from the home University;
  • A criminal record statement showing no criminal record. This must be submitted with the application form. Please note that if you are a student of a NSW university and a holder of a ClinicalPlacement Authority Card you do not need to obtain a further police clearance.

    Fees


    The application must be accompanied by:
      • A non-refundable Application fee. Processing will not be undertaken without receipt of fee.
      • Australian and New Zealand Students will need to pay $110 (AUD)
      • Overseas students will need to pay $440 (AUD)
      Note: Students who require clinical clerkships that form a substantial component of their medicine degree and require credit or University stamp or statement from the Head of the School of Medicine, must pay a clerkship fee of AUD$440 per week.       How to pay Fees

      • Australian students may pay the fee by credit card using the credit card form or by personal cheque or Australia Post Money Order.
      • Overseas students may pay the fee by credit card using the credit card form or by mailing an international bank draft, cheque or money order for four hundred and fortyAustralian dollars and drawn on an Australian bank, and made payable to “The University of New South Wales”.
      • Electronic payment cannot be accepted.

      Conditions of Acceptance


      In accepting a clerkship, you will be required to abide by the guidelines of the University, the Hospital and your supervisor. Regular attendance and maintenance of your appearance (including short white coats worn in all clinical areas) is essential.

      It is a legal requirement that all medical students who undertake clerkships in the state of New South Wales must:

      1be registered with the Australian Health Practitioner Regulation Agency.

      It is a legal requirement that overseas medical students undertaking clerkships at teaching hospitals in New South Wales are registered with the Australian Health Practitioner Regulation Agency. Information given on the Clerkships Application Form will be forwarded to the Agency for registration. No other action is required by the student.

      Visiting students are responsible for obtaining any travel and health insurance as deemed appropriate.
      2provide an original criminal record statement produced by the appropriate authority within their own country (eg police authority in the UK - ; Ministry of Foreign Affairs in Malaysia). This statement must be in English and show that the applicant has no criminal record in relation to the following classes of serious offence:
      • Sexual offences
      • Serious offences involving a threat or injury to another person and
      • Other serious offences. Serious offences are defined as offences which are punishable by penal servitude or imprisonment for 12 months or more.
      Note: if it is not possible to get the criminal record statement in English, it must be accompanied by an official translation in English.

      UK medical students can obtain a form from their local police station which will allow them to apply for this information under the Data Protection Act of 1984. The document is supplied by The National Identification Service, New Scotland Yard. A fee is payable for this service and processing may take more than 40 days. It is therefore recommended that students apply for this information at the time of making a clerkship application.

      An alternative acceptable document is a letter from your University on official letterhead to state that they have sighted a criminal record statement for you that shows no offences. This is usually done prior to enrolment.
      3obtain an Australian National Police Check from the Australian Federal Police (AFP). This must be done before you travel to Sydney and you must bring it with you to give to your Hospital. The web link is here:

      The code to use is "30 - Pre-employment / standard disclosure". For international applicants, the best way to pay is to use an international bank cheque drawn on an Australian bank. International banks can do this.

      The National Police Check is a most important document. Please send a certified copy of this document to this office after you receive it and the original must be produced on arrival in Sydney, otherwise the placement cannot go ahead.

      Please note that if you are studying at a New South Wales university you do not need to obtain further police clearance if you already hold a Clinical Placement Authority Card or an appropriate certification from the AFP or New South Wales Police Service.
