Visitor Policy

UNSW recognises that OHS policies, procedures and guidelines placed into the public domain of the University’s web site may be of assistance to other organisations and universities as reference material or models. The School requests that when SOMS and UNSW material is used in development of documents, that the work done by the University is acknowledged by referencing the source of ideas or written expression.

This policy applies to all staff, students, contractors, couriers, and visitors to SoMS offices, laboratories, workshops and other facilities.

All full-time staff and postgraduate research students will have 24 hour swipe card access at all points of entry into SoMS. Part time staff who work in SoMS on a regular basis will also have swipe card access. Part time staff who work in SoMS only occasionally will be regarded as visitors.

No staff or student with authorized access to SoMS should let in any unauthorised person without following the procedures for Visitors outlined below.

1. Couriers and contractors

    1.1. Reception at the main entrance to Wallace Wurth will to be staffed from 9am – 5pm.
    1.2. Selected regular couriers and contractors will be provided with a contractor ID to allow access to SoMS via the Main entrance or Rear entrance during designated hours.
    1.3. All other couriers and contractors will go to the reception counter via the Main entrance for deliveries and pickups of small package items. They will be asked to sign in, and be issued with a pass to allow them to deliver their item to the relevant floor. This pass should be worn at all times.
    1.4. Other couriers and contractors doing deliveries and pickups for large items will use the building’s Rear entrance and will similarly buzz the main reception for entry. Couriers for Anatomy will be referred to the level 1 Anatomy staff to sign in and be issued with a pass.
    1.5. Items for delivery should be clearly marked with your full name and location, as well as the specific location to which the parcel should be delivered. Please ensure the full details are given when ordering.

2. Visitors

    2.1. A Visitors book will be kept at the main reception area.
    2.2. All staff and students who are expecting a visitor should advise the reception area in advance. You will be required to come down to reception and meet your visitor.
    2.3. All visitors will be required to sign in before entering secure areas, and to sign out when they leave.
    2.4. A numbered visitors badge will be issued to visitors which should be worn at all times.
    2.5. Visitors should obey any instructions issued by a fire warden in an emergency situation and all visitors should remain accompanied at all times in SoMS areas (offices and laboratories).

3. Visitors: UNSW staff

    3.1. UNSW staff and postgraduate students who are not members of SoMS should make appointments to see occupants.
    3.2. SoMS staff & postgraduate students arranging such appointments will advise their visitors to ask for them at the reception desk.
    3.3. The person staffing the desk will phone through, and the SoMS staff member will then come to the desk and escort their visitor back to their area.
    3.4. The host will be responsible for ensuring the visitor signs in and out in the Visitors book and wears a visitors pass at all times while in the building.

4. Non-UNSW visitors & contractors

    4.1. Non-UNSW visitors and contractors issued with a Contractor ID card or a Visitor ID card, should display this at all times for the period they are in the School.
    4.2. Visitors should make an appointment to see SoMS staff or postgraduate research students.
    4.3. SoMS staff arranging such appointments will advise their visitors to ask for them at the main reception counter.
    4.4. The person staffing the desk will phone through, and the SoMS member will then come to the desk and escort their visitor back to their area.
    4.5. Numbered visitors cards will be held securely at the reception desk.
    4.6. Visitors will sign at the desk and be issued with a visitor card which they should return at the end of the visit.
    4.7. The person hosting the visitor will be responsible for ensuring the card is supplied and that the visitor has signed for it.
    4.8. The host is also responsible for ensuring the card is returned.
    4.9. If a card is not returned, the host will be responsible for ensuring its return to SoMS.

5. Hours of access

    5.1. Undergraduate students will be allowed authorized access using ONLY the main entrance from 8.30am – 6.00pm. Swipe access will terminate at 6.00pm, and UNSW Security will regularly patrol the building and ask staff and students to show their ID badges to ascertain they are allowed to be in the building.
    5.2. SoMS staff and postgraduate research students will be allowed round the clock access to all entrances.
